Job Opportunities: Administrative Assistant(s)  

Temple Beth Torah is looking for two highly motivated, mature, computer literate people who are interested in a part time position with our organization. These high profile positions involve significant interaction with the public, word processing, data entry and other clerical work.  Specialized training as well as professional development opportunities will be provided. Starting salary is $14.50-$15.00 an hour.  Benefits include paid vacation, sick leave, leave early on Shabbat.

These positions require someone who is detail oriented, enjoys working in a fast-paced, friendly environment and is PC proficient with extensive Windows, Microsoft Office (including Word & Excel) and database management experience.  Above all, these Administrative Assistants are often the first person to speak to or greet our community (congregants, potential members, parents and students), and as such, need to reflect the welcoming attitude of Temple Beth Torah.  Prefer Two Years Experience.

Administrative Assistant - Front Office

As a key member of the front office team, the Front Office Administrative Assistant performs varied duties as outlined below (20 hours per week):

  • Works closely with administrator, clergy and lay leaders
  • Maintains the member and non-member databases in order to generate up-to-date addresses for mailings, reports on membership, prospective members, Yahrzeits, Board and Committee Chair information
  • Orders supplies as needed
  • Creates weekly publications (Shabbat Handout, Announcements, Good and Welfare)
  • Maintains regularly-updated calendar
  • Prepares mailings including B’nei Mitzvah letters from initial meetings and date selection through each Bar/Bat Mitzvah, reminder letters, invitations, newsletters, postcards, holiday and event tickets
  • Answers phones, routing them to appropriate staff; calls congregants, vendors, clergy as necessary
  • Sorts and distributes mail

Administrative Assistant - Religious School

In addition to the following areas of responsibility, the Religious School Administrative Assistant must be available on Sundays and Tuesdays during religious school hours throughout the school year, and one additional weekday to be determined (15 hours per week).

Responsibilities will include the handling of office administration under supervision of the Director of Religious School. Computer skills and good communication skills are a plus. Training will be provided to assist with preparation of faculty payroll, mailings, and maintenance of school supplies. Additional responsibilities include:

  • Student and teacher database management
  • Registration of students
  • Mail student progress reports twice each year
  • Design and/or distribute flyers to teachers announcing upcoming events
  • Answer telephones and emails
  • Answer questions about the school
  • Handle correspondence for the religious school director and faculty
  • Photocopying of class materials
  • Gather requested supplies and materials
